The Accountant’s main responsibility is safeguarding the assets (financial and physical) of Management Sciences for Health and ultimately the donors against fraud, loss or misuse and to ensure proper documentation and processing of the finances of the organization. The Accountant is primarily responsible for, but is not limited to, bank reconciliation, payroll management, reviewing payments for activities and operations, and supporting the Accounting Manager in carrying out the responsibilities of the accounting department. The Accountant is aware of, and adheres to, MSH’s procurement integrity standards in all activities.

Specific Responsibilities

  • Prepare and process payroll and payroll voucher based on the timesheets received.
  • Monitor staff advances and ensure that Travel Expense Claims are submitted on time and include all necessary documentation to clear. Follow-up with staff and escalate to supervisors as needed.
  • Ensure documentation is properly filed and maintained as per MSH and donor policy
  • Review all QBO bills and payments for completeness, accuracy and validity of financial data, including accounting classification and computations.
  • Ensure that all QBO data supporting documents have been scanned and attached in QBO.
  • Review data entry in QBs against source documents for accuracy
  • Upload electronic banking payments into bank portal, for review and approval
  • Facilitate monthly Bank Reconciliations
  • Ensure that the PTO tracker is prepared on time and accurate for month end closing processes.
  • Prepare month end close files in accordance with established procedures and submit for review by Finance Manager in accordance with set deadlines and ensure the month closes by the 5th working day of the following month.
  • Support year-end close process
  • Manage monthly project and activity expenditure reports for project management.
  • Track VAT paid and prepare requests for reimbursements monthly. Provide details of payments and refunds for needed donor reporting requirements
  • Calculate staff terminal benefits for pay out
  • Conduct staff orientation and training for new staff.
  • Guide and coordinate the accounting staff
  • Coordinate with the Zonal Accountants for a smooth month end close
  • Maintains financial security by following the stipulated internal controls
  • Other tasks as requested by supervisor from time to time

Qualifications and Experience

  • Minimum of Degree in accounting or other equivalent accounting qualifications with a minimum of 5 years’ experience in accounting functions
  • Studying toward ACCA
  • Be a valid registered member of the Malawi Accounting body.
