The College of Medicine a constituent college of the University of Malawi, is inviting applications from suitably qualified candidates to fill the vacant position of Secretary tenable at its main campus in Blantyre.

Main Purpose of the Job

To support the efficient and effective delivery of operational and administrative functions.

Duties and Responsibilities

The successful candidate will be expected to carry out the following key duties;

  • Drafting and typing correspondences using various word processing packages.

  • Developing and maintaining filing system.

  • Keeping inventory of office equipment and other assets.

  • Requisition of consumables

  • Managing sensitive and confidential reports.

  • Facilitating meetings, events and visits.

  • Maintaining mail register and managing diary.

  • Making travel arrangements and other logistics for staff and students.

  • Maintaining steady supplies and accessories for the department.

  • Identifying and reporting faults (electrical, plumbing and structural) to responsible officers.

  • Supervising departmental junior staff (Office Assistants & Outsourced cleaners).

  • Carrying any other duties assigned by the Head of Department from time to time.

Education, Qualification and Experience

  • Diploma in Secretarial Management or Business Management plus Shorthand 120 WPM, typing 50 WPM (Advanced), Office Practice/Etiquette, and English for Business Communication, Bookkeeping and Commerce.

  • Knowledge of computer packages such as word, excel and outlook.

  • 3 years’ experience in a busy Institution. Preference will be given to those with previous working experience in a higher education institution.
